Employee meetings a key factor in strengthening collaboration and knowledge transfer
First Cross-Location Employee Meeting at ecos work spaces
In a work environment increasingly characterized by flexible office spaces, hybrid models, and rising customer expectations, structured communication is becoming a critical success factor. This is precisely where our regular meetings come in: they create space for knowledge transfer, foster new ideas, and ensure a shared understanding of quality and service.
Actively Promoting Collaboration Across Locations
The ecos Group brings together 25 ecos work spaces throughout Germany and offers customers from all over the world and across every industry flexible office solutions, conference and seminar rooms, meeting rooms, coworking spaces, and virtual office solutions. All of this is complemented by comprehensive office services, ranging from personalized telephone answering to specialized administrative and secretarial support. This makes it all the more important to pool knowledge across locations and make it accessible to everyone. It became clear as early as the first in-person meeting in November 2025 just how valuable face-to-face interaction is. Employees from various ecos locations openly discussed challenges in day-to-day business, such as handling customer requests or organizing conferences.
First In-Person Employee Meeting at the ecos Münster Office
After some initial hesitation, the discussion became increasingly open and productive as the first day progressed. With each passing hour, participation grew more lively, and the atmosphere became much more relaxed throughout the meeting. And that was exactly the idea: everyone is free to ask any question, without judgment but with an answer. This led to great, fruitful discussions about practical applications and the experiences of employees who have been with the company for over 10 years, which were supplemented, questioned, and in some cases optimized by ideas from younger employees. Topics included filing systems, hospitality allowances, and conference room technology. Seeing how a creative and solution-oriented exchange takes place even on such seemingly dry topics was simply fun and clearly demonstrated: The on-site teams have good ideas, and the employee meetings create a space where these can be refined with colleagues so they can then be optimally integrated into their own locations.
Second Virtual Staff Meeting
In the virtual meeting held three months later, this exchange was consistently continued and deepened. This fosters a culture of continuous learning that is not tied to individual ecos locations but strengthens the entire ecos work spaces organization. A key insight here was that specifying a clear topic is very important in purely digital meetings to avoid wasting participants’ time. Therefore, a clear topic will be set for the next virtual meeting so that everyone can decide for themselves whether this topic is interesting, relevant, worth knowing, or not. In this way, we want to ensure that the employee meetings continue to have the desired effect—specifically promoting exchange among teams at 25 locations.
Consistently positive feedback from all participating locations
It was particularly heartening to see the consistently positive feedback following the first in-person meeting. This demonstrates both the need for face-to-face interaction and the strengthening of a sense of unity among employees. At the shareholders’ meeting held three weeks later, this was once again emphasized by the managing directors of the 25 locations. This demonstrated that employee meetings also contribute to the satisfaction of individual teams and thus offer added value for the managing directors. Experience shows that team satisfaction leads to better results, greater commitment, and recognition, making it an important component of a healthy and modern workplace.
Sharing knowledge, improving processes, ensuring quality
A key benefit of employee meetings lies in the active exchange of knowledge. Topics from day-to-day operations are discussed and refined together.
Typical topics covered in these meetings include:
- Optimizing workflows in meeting rooms and conference areas
- Consistent handling of customer interactions and services
- Efficient organization of catering and additional services
- Discussions on tools and digital processes
- Purchasing and procurement—from office supplies and furniture to technology
It becomes clear that it is often small adjustments in the details that have a major impact. When experiences from different locations are brought together, practical solutions emerge that can be implemented directly in everyday work.
Staff Meetings as Drivers of Innovation
In addition to operational topics, the meetings also provide an opportunity for strategic input. In the area of marketing and visibility, for example, ideas for social media, content planning, and regional initiatives were discussed.
This exchange highlights how important it is to evaluate trends together and share best practices. In this way, all locations benefit from the successful approaches of individual teams.
The meetings also generate new perspectives in the areas of customer feedback and acquisition. Diverse experiences help broaden our outlook and continuously improve our own approach.
Leveraging Team Strength: Over 100 Perspectives for Better Solutions
The unique strength of ecos work spaces lies in the diversity of its teams. Over 100 employees contribute a wide range of experiences, skills, and perspectives.
Staff meetings provide a platform to highlight this potential and leverage it effectively. Open dialogue not only fosters better results but also strengthens mutual understanding and a sense of belonging to the entire organization.
Formats such as open discussion sessions or spontaneous brainstorming sessions have proven particularly valuable. They enable us to examine topics from various perspectives and develop them further together.
Modern work environments require structured communication
In professional business centers, coworking spaces, and flexible work environments, clear communication is essential. Staff meetings play a key role in this regard:
- They provide transparency regarding processes and responsibilities.
- They promote consistent service quality.
- They support the further development of offerings and services.
Especially in the context of meeting rooms, it becomes clear how important coordinated processes are for a consistently positive customer experience.
Employee Meetings as the Foundation of a Strong Organization
The regular employee meetings at ecos work spaces demonstrate how important regular, open, and structured communication is to a company’s success. They connect locations, foster knowledge, optimize processes, and lay the groundwork for continuous improvement.
For companies with multiple locations or flexible work models, such formats are a crucial lever for strengthening collaboration and cohesion, supporting employees - thereby retaining and developing them - ensuring quality, and remaining successful in the long term.
